ANNUAL MEETING APRIL 28, 1999 AT REGIS UNIVERSITY IN DENVER

The Annual Meeting of the Colorado Council of Medical Librarians will take place on April 28, 1999 at Dayton Memorial Library on the Regis University Campus in Denver, CO. (A map is included.) There is a full morning planned with two programs you will want to attend in addition to our regular membership meeting and luncheon.
CCML members will be getting a preview of some exciting enhancements. Doody Publishing, the foremost reviewer of health sciences books, will be introducing Doody's Electronic Journal. Dan Doody, President of Doody Publishing, will be our first program presenter. At 8:30 a.m., he will unveil a new software tool called "3D," an acronym for Doody's Database Distributor. "3D" will allow librarians to interact with their patrons according to the patrons' interest profiles. The "3D" tool is one of several enhancements that will be introduced in the latest upgrade to Doody's Electronic Journal (Version 4.5), which is scheduled for a May 1999 release. Morning refreshments are sponsored by Doody Publishing and will be served from 9:00 to 9:30 a.m. after the presentation.
Patricia Ladewig, Ph.D. is our second speaker at 9:30 a.m. She will talk about the Regis University School for Health Care Professions. The School presently has several health care programs with plans for expanding their offerings in the future. Starting and continuing health care programs in this time of a rapidly changing health care field will be the focus of her talk. Dr. Ladewig has been Dean of the School for Health Care Professions since 1991. From 1988 to 1991 Dr. Ladewig was the Director of the Regis School of Nursing. Before working at Regis, Dr. Ladewig was the Director of Nursing at Loretto Heights - from 1980 to 1988. When Loretto Heights closed in 1988, the School of Nursing and Dr. Ladewig moved to Regis. In addition to her duties as Dean, Dr. Ladewig has co-authored two nursing textbooks. The first book is Maternal-newborn nursing care: the nurse, the family, and the community, 4th ed., 1998 by Patricia W. Ladewig, Marcia L. London, & Sally B. Olds. The other text is Maternal-newborn nursing: a family centered approach, 4th ed., 1992 by Sally B. Olds, Marcia L. London, & Patricia Ladewig.
The CCML business meeting will begin at 10:30 a.m., after Dr. Ladewig's presentation. There are several proposed changes in the by-laws we will be considering in addition to our regular business. Following the business meeting we will have our annual luncheon which is being sponsored by EBSCO Subscription Services and Matthews Books. Please plan to stay for lunch if your schedule permits.
REVISIONS TO BY-LAWS PROPOSED

The executive committee has proposed a number of changes to improve the accuracy and consistency of CCML's By-laws. CCML members are asked to carefully review the proposed changes, in preparation for discussion and voting at the annual business meeting on April 28, 1999.
A copy of the current version of the By-laws, including the proposed revisions, is available on the CCML web site, at http://www.ccmlnet.org/bylawsrevision.html Items that are recommended for deletion from the By-laws are struck through, and items recommended for addition to the By-laws are italicized and underlined.
The majority of changes are intended to improve consistency in the structure and wording of the document. Several inaccuracies have been corrected. The major proposed change, which will affect the structure of CCML, is the elimination of the library cooperation committee. This action was recommended to the executive committee, by the current library cooperation committee, chaired by Sandi Parker.

MARKETING WORKSHOP IN DENVER AREA

The Colorado Marketing Council will be sponsoring its workshop "Creating Change in Challenging Times: Marketing Tools for Librarians" in the Denver area this summer. It is a two-day workshop with speakers Pat Wagner and Claudine Paris; an assessment tool for self-evaluation and monitoring progress; and a panel discussion. It will be held at the Aurora Public Library on June 11th and August 24th. More information will be available in the upcoming months, but save these dates in the meantime.
UPCOMING LAMA INSTITUTE

The Colorado Marketing Council will jointly sponsor, with CCLS, a LAMA Institute in the Denver area. This year's topic is "Understanding Power and Influence: Maximizing Success for Your Organization." It will be held on September 15 at Aurora Public Library and will be a full day workshop designed for all library staff. The presenter is Abigail Hubbard, a professor at the University of Houston College of Business Administration, who holds an MLS and a PhD in Higher Education Administration.

Action is needed by some CCML members. Several of the renewal payments were sent to Denver Health Medical Center, which was confusing to their accounting department, as well as the DHMC library staff.
It is evident that the accounts payable departments in some of your organizations did not look at the address on the CCML invoice and used an old address in their files. It will help CCML considerably if each of you would verify that your accounting department has the correct CCML address.

BOOK REVIEW: TAMING THE OFFICE TIGER

OK, certainly something like this has happened to all of us: you open the door to that storage closet that no one has gone near in who knows how long. You're looking for the minutes from a meeting held at a conference that someone went to in some city some years ago. They're in a box…a brown one. You move the first few stacks of cartons, and there, behind a rusted four-drawer, Army green filing cabinet, is what seems to be the mummified corpse of a co-worker (the ID badge helps, but - sadly - not the picture) whom you had forgotten about but now vaguely recall as having gone down the hall at some point a few years ago "to do some filing." What's up? Your organization has a problem with organization, that's what.
And low and behold, here to help solve such problems is Barbara Hemphill, author of Taming the Office Tiger, easily found in the well-organized Isabelle T. Anderson Collection. Ms. Hemphill first produced Taming the Paper Tiger, which dealt with organizing home records, and I'm betting that after it was published she found a file folder behind her desk or misfiled somewhere, containing a lot of good stuff that she still wanted to use, resulting in the office version.
It all boils down to the first three things she suggests we all have to choose from when faced with any new piece of information, printed or electronic: toss it, file it, or act on it. There's the book. Well, no, there's a little more, but it's all variations on that theme. She offers ways to identify what actually is important, and offers suggestions for how to get past that gut-wrenching, throat-tightening moment of frozen dread when you can't quite drop that folder in the trash, because what if…just imagine now…what if someday, some person, possibly some person not yet born, actually needs one of the 47 pieces of paper it contains??? Her answer, in part, is to ask yourself "what is the worst possible thing that could happen if I did not have this information?" She doesn't seem to realize that the truly psychotic among us would answer "YES!! That's it exactly!!! I don't KNOW what the worst thing might be!! But if I keep this folder, I won't EVER have to find out!!!!!"
Sections include common sense approaches to organizing what you do keep, using a calendar/planner, naming files for easy retrieval, and what sorts of physical storage might work best in different situations. She talks about working on the road or at home, managing the junk acquired at a convention, sharing an office, and, finally, organization-wide approaches to controlling paper and electronic files and piles. Important among the latter are having some sort of retention guidelines that everyone adheres to, and keeping whatever filing system is used so clear and logical that, should you go away, others, even temporary workers, will be able to retrieve things easily. (As if you or I, at that point downsized or dead, will have any reason to care).
The book is short and peppy, with some good cartoons (Cathy, Dilbert) thrown in to illustrate her points. I did have a problem with, of all things, the book's organization. It's set up with sidebars and boxes and double page extras separated from the regular text by dark lines. These devices all look good, and lots of books have them, but they tend to make me long for a simple, linear form. I don't like having to choose whether to finish the sentence I'm in, which would require turning the page and then coming back, or to jump immediately to the sidebar list of important points that actually starts on the left-hand page, then try to pick up the train of thought from the partial sentence I left a minute or so ago. My brain cells aren't organized well enough to do it.
I apologize for the delay in getting the review done, but for a few days the book managed to hide under a pile of articles that I had been meaning to read or file, and if I hadn't spilled the coffee on them, God knows when I might have found it.

Education Committee

The Professional Development Fund was moved to the Education Committee. The forms were added to the CCML web site and the information updated so requests would come to the Education Committee. There was one request for money from the Fund this year. We approved $20.00 for attendance at a meeting.
The budget submitted for the committee was essentially the same as the previous year:
Both classes offered made back the expenses involved plus a small additional amount.
Kate Elder provided information for each issue of Council Quotes on various educational offerings. Dick Maxwell wrote reviews of several additions to the Isabelle T. Anderson collection. Cooper Wood brought selections from the ITA collection to each membership meeting, and assisted in checking out materials.
The committee proposed revisions to the 1986 guidelines for the Isabelle T. Anderson Collection. The new guidelines were approved in January 1999. See attached copy of new guidelines. Cooper printed out a list of the collection (202 titles) which the committee started reviewing for possible weeding. Titles will be withdrawn only when a consensus is reached by the committee. Any withdrawn titles will be offered to Denison first as the host library, then to other member libraries before discarding.
A survey of the membership was conducted to try to determine preferences for CE classes. The form was posted to the CCML list on Sept. 2, 1998. A total of 28 responses were received. Marla and Barb repeatedly attempted to contact the instructor of choice, but were eventually unable to get a commitment from her. A second brief survey was conducted, but only 8 responses were received. The committee felt that at least 15 responses were necessary to sponsor a class. The committee finally decided not to have a spring class.
The committee sponsored a "sharing session" about MLA at the June membership meeting. Although turnout was small, everyone enjoyed hearing about MLA. The second event sponsored by the committee was the MLA satellite conference "Evidence Based Health Care in Action" on Sept. 16, 1998. The conference was also advertised to the Health Sciences Center and about 20 people attended from HSC as well as 21 from CCML. CCML members paid $15 and received 1.5 MLA credits. The final course offered was "It's About Space, It's About Time" taught by Lynne Fox Dec. 9, 1998, at Denver Health Medical Center. CCML members had the choice of taking the class for free (no MLA credit), or paying $10.00 and receiving 2 MLA credits.
The committee learned that 2 other sites are capable of hosting a satellite conference, but were unavailable at the time necessary for this conference. These sites were St. Joseph's Hospital and Arapaho Community College.
The committee agreed in December to attempt to carry on business via e-mail and phone. No further meetings were scheduled.

"Moving to Cyberspace Operations" was the theme this year for the Membership Committee. Aside from a face-to-face meeting in April, the Committee conducted most of its business using e-mail and the CCML web site. Greeting new members and visitors at program meetings continued the traditional way - in person - along with supplying the nametags and information handouts to make the meetings more rewarding. The Committee met its goals in the CCML Operating Plan.
While the online joint librarians directory is still in discussion, the printed one will be made available later in 1999 through the work of the Jefferson County Public Library. Our own CCML Membership Directory continues in print and on the web site. In April 1999, Mary Kralicek takes over the Chairperson position from Barbara Wagner, and Sue Coldren hands over the member database to Shelley Coleman.

Committee members covered the territory from Pueblo to Cheyenne. Most contacted prospective and former members, recruiting for CCML, and wrote Council Quotes (CQ) articles about some of our long-time members. Sue Coldren maintained the membership database, furnished mailing labels, prepared renewal forms, and published the annual membership directory. Barbara Wagner sent welcome packets to the new members, tracked the renewal process, and reported on the activities of the Committee in CQ and at Executive Committee meetings.

Library Cooperation Committee
Members:
The Library Cooperation Committee conducted a web survey to determine which CCML libraries offer services to non-affiliated clients and if they charge for the services. The survey was planned and designed during the months of June - October. Jeff Kuntzman translated the word document into an interactive web form in October and we beta tested the form in November. The actual survey took place during the month of December. Survey responses were received from 26 libraries. Mary Mauck compiled the responses using Microsoft Excel and the data were sent to Sue Coldren for inclusion in the CCML directory database. Decisions concerning the appropriate fields to display are still pending as of this date. An article summarizing the results is in this edition of Council Quotes (see page 2).
The committee met three times to plan and design the survey. They met at the MGMA library, the Wellspring Library in Ft. Morgan, and at the Gervasini Library at St. Joseph Hospital. At the final Executive Committee Meeting of the year, the Chair made a recommendation that the Library Cooperation Committee be dissolved as a CCML standing committee. The organization is already very cooperative and the committee struggles to find projects. The CCML Executive committee passed the motion and will change the by-laws accordingly. The membership must vote to approve the by-laws at the annual meeting in order to finalize the action.

Journal Locator Committee

The committee coordinated the creation, printing and distribution of the 22nd edition of the CCML Journal Locator for Colorado and Wyoming.
The price of the Locator was not increased from last year. It stayed at $85.00 for participating libraries and $115 for non-participating libraries. A $5.00 fee was added if the Locator was sent via US mail.
The SERHOLD updating continued to be done by Gene Stortz. This service is available to libraries whose collections are included in the Locator. Date entry was completed in June in order for NLM to create a tape of holdings in July. This year, for the first time, NLM created the file, which the committee had to download and format locally. This saved us over $500 in programmer and computer costs over last year, but transferred that work to the committee. The introductory pages were edited, and camera ready copy was sent to the printer the first part of October. We had 57 copies printed based on pre-publication order requests. The printer delivered the Journal Locator's on December 18, and they were distributed via courier and US mail to forty-nine institutions.

Nominating Committee

The Nominating Committee was able to transact its business via e-mail and telephone. In accordance with the CCML By-Laws, a slate of candidates was approved by the Executive Committee on November 12, and presented at the December 9, 1998 membership meeting. The candidates were: Paul Blomquist, President Elect; Jeff Kunzman, Treasurer (2 years); and Gene Stortz, Secretary. Short biographies of the candidates and a review of the election process appeared in the November/December Council Quotes before the election. The candidates were elected by voice vote. CCML members were urged to fill out their "Willingness to Serve" forms if they have an interest in serving in an office.

Collection Development Policy
The Collection is a project of the Education Committee, which will purchase items based on their usefulness to the greatest number of CCML members and current unavailability in member collections. While materials of lasting value will be given priority, consideration will also made of members' needs for information on current library technologies.
Financial support for new purchases will be in the form of an annual sum to be allotted to the Education Committee by the CCML Executive Committee. Donations of items and funds will be gratefully accepted. The Committee is under no obligation, however, to add gift items to the collection if those items do not meet the requirements of this policy.
Forms of material in the Collection will be monographs, audiovisuals, computer software, continuing education syllabi, CCML publications, Medical Library Association annual reports and meeting programs, Midcontinental Chapter of the Medical Library Association materials, and planning kits and models. Materials excluded will include archival items, journals, and ephemeral publications that require continuous weeding and bibliographic tools that are quickly outdated. The Collection will be restricted to English language materials with priority given to U.S. authors and imprints except for classic reference tools.

To check out items from the Isabelle T. Anderson Collection CCML members must have a library card from the host library. The cards are available free to current CCML members. Materials may be checked out by members as follows:
WEEDING APPENDIX
Weeding will be done annually by the Education Committee to keep the Collection current. Materials older than ten years will be retained only if they are considered "classics" or have strong local relevance. Items on technological subjects shall be reviewed annually for continued relevance and accuracy. Weeded items will first be offered to the host library for inclusion in its collection and then offered to the general membership. The Committee shall determine the final disposition of all weeded materials.
